Four steps from Sapling to a running program, all from the Employees page.
Step 1: Connect
From Employees, choose Connect payroll and pick Sapling. Generate a read-only API token in Sapling and paste it into the connect window.
Step 2: Choose who syncs
Everyone, specific departments, or specific people, and whether contractors are included. People outside the scope are never imported.
Step 3: Review
See exactly who will sync and what each person is missing (a birthday, an email, an address) before anything is created.
Step 4: Run the program
Occasions are created from the synced dates. Managers get their prompts. Gifts go out on schedule. Changes in Sapling flow in on their own.

The directory stays current
When Sapling reports a change, Finch pushes it to Thankscrate and the record updates within minutes. A new hire appears with their dates and inherits the program, and the nightly schedule creates their first occasions. A leaver is marked inactive and no new gifts are scheduled for them. Anything already in progress completes. If a name, date, or department changes, it changes here too.

How the sync works
What to expect from the Sapling sync
What syncs, how often, and what happens when someone joins or leaves.
- How often does it sync?
- Continuously. Sapling changes reach Thankscrate by push from Finch, typically within minutes. Finch itself checks automated connections at least daily. Saving your sync settings also runs a full re-sync of everyone in scope.
- What happens when someone joins?
- They are created with their name, email, dates, title, and department, marked active, and the next nightly run creates their upcoming occasions within the 60-day window. No email is sent to them until a gift or a choice needs their attention.
- What happens when someone leaves?
- Their record is marked inactive and Thankscrate schedules no new gifts for them. Gifts already in progress are not cancelled. Nothing is deleted. If they return, an admin restores them with one click.
- Can I sync only part of the company?
- Yes. Sync everyone, specific departments, or specific people, plus an employee-or-contractor filter. People outside the scope are skipped and never imported.
- Will a sync overwrite my edits?
- Names, emails, dates, titles, and departments follow your HRIS on every sync. Addresses are the exception. An address you edit in Thankscrate is protected until you choose to restore the payroll address.
- What if a person cannot sync?
- Each person's result is recorded in Sync History with the reason (a missing birthday, email, or start date, an inactive status, or an out-of-scope department). A missing address is a warning, not a failure. Recipients can confirm one from their gift link.
- What happens if I disconnect?
- Thankscrate stops syncing and removes the stored Sapling token. Every employee, address, occasion, and scheduled gift is kept, and gifts keep going out for active employees. Reconnect any time.
- Is anything written back?
- Never. The connection requests read-only scopes. Thankscrate has no ability to create, edit, or delete anything in Sapling.

Which payroll and HR systems do you work with?
Thankscrate connects to hundreds of HRIS and payroll systems through Finch, including ADP, BambooHR, Gusto, Justworks, Paychex, Paycom, Paylocity, QuickBooks Payroll, Rippling, UKG, and Workday. The connection is read-only.
What if we don't use a payroll system?
Import a spreadsheet. Thankscrate reads exports from ADP, Gusto, BambooHR, Rippling, and Workday, matches the columns for you, and gives you a sample file to start from. You can also add people one at a time.
Our system is not in the directory. Can we still connect?
Yes. Systems without an automated connection connect through an assisted setup with our team, or through a spreadsheet import with automatic column mapping. Either way the program runs the same once people and dates are in.
How long does setup take?
One sitting. From the Employees page you connect the system, choose who syncs, review who will be imported and what each person is missing, and the program runs from there. Changes in your system arrive on their own after that.
What happens if we disconnect?
Syncing stops and the stored connection token is removed. Every employee, address, occasion, and scheduled gift is kept, and gifts keep going out for active employees. Reconnect any time.
Who at our company can see the synced data?
The people you invite to your Thankscrate account. Owners manage billing and the team; members run the program. Managers who write a note never log in and never see the directory, the address, or the order. The full picture is on the Security and trust page.
What about remote and international teammates?
Addresses are verified against USPS data before anything ships, and recipients can confirm or update their own address. Physical Thankscrates ship within the U.S. Teammates outside the U.S. receive digital gift cards.
Is our HR data secure?
Thankscrate reads only what it needs to send a gift. That is name, email, birthday, start date, title, department, employment status, and shipping address. It never reads compensation, tax IDs, or bank details, and it never writes to your payroll. Data moves over TLS, and access is scoped to your company by design.
